Pick by where your finance team wants to work, and whether you also need to close the books in the same system.
If your models live in Excel and the team will not give it up, choose an Excel-connected platform such as Vena or Datarails. You keep the spreadsheets and add live data, version control and workflows. If you want to leave spreadsheets behind and let finance change models without consultants, choose a web-native platform such as Abacum or Drivetrain. If you run several entities and currencies and want consolidation and close next to planning, choose a financial performance management suite such as Planful or Prophix.
Ask every vendor to build your hardest report, live, from your general ledger.
Why fp&a software for mid-market companies matter
For a mid-sized company, the budget sets which teams grow, which products get investment and how much cash is left for an acquisition. The forecast tells leadership whether those plans are on track.
Most mid-market finance teams build both in spreadsheets fed by ERP exports. Each month starts with days of data pulling and reconciling. A board question such as what a delayed product launch does to cash takes a day to answer, because the model must be rebuilt. Errors in linked workbooks reach board packs.
FP&A software connects the general ledger, CRM and HR systems to one planning model. It automates actuals loads and budget-versus-actual reporting, runs scenarios, and gives department heads controlled access to their own budgets.
Who buys it
CFOs, VPs of finance and FP&A managers at companies large enough to have several departments, entities or investors to report to, but without a finance systems team.
Typical triggers: a first or second FP&A hire, a new CFO, a board or investor asking for monthly reporting, an acquisition that adds entities, or an ERP move to NetSuite, Sage Intacct or Microsoft Dynamics.
Before you buy: what teams do without one
Most mid-market companies run FP&A in Excel or Google Sheets, fed by exports from the ERP, CRM and payroll systems. That works while one analyst owns the model and the business has one entity.
Others use the budgeting module of their ERP, or a BI tool such as Power BI for reporting with planning still in spreadsheets.
Consider buying once month-end reporting takes more than a few days of manual work, department heads need to enter their own budgets, scenarios are requested faster than the team can rebuild models, or a spreadsheet error has reached the board.
What good looks like
| Capability | What good looks like | Why it matters |
|---|---|---|
| ERP and source-system connectors | Prebuilt connectors to your general ledger, CRM, HRIS and payroll, with scheduled syncs and drill-down to transactions. | Without connectors, someone exports and reconciles actuals by hand every month. |
| Excel and Google Sheets support | Two-way sync with spreadsheets, so analysts can model in Excel while data and versions stay governed. | Analysts keep the spreadsheet skills they have. |
| Driver-based planning and scenarios | Revenue, headcount and expense plans built on drivers, with scenarios that flow to a 3-statement model. | Boards and lenders ask what-if questions between budget cycles. |
| Budget collaboration | Department-scoped views, budget templates, approval workflows and locked versions. | Department heads enter their own numbers instead of emailing spreadsheets. |
| Reporting and board packs | Budget-versus-actual reports, dashboards and board decks that refresh from live data and export to PowerPoint. | Board and investor packs recur every month or quarter. |
| Consolidation and close | Multi-entity, multi-currency consolidation with intercompany eliminations, in the same product or as a module. | Multi-entity companies otherwise run a second tool or spreadsheet for consolidation. |
| AI with an audit trail | Variance explanations, forecasts and model edits that are versioned and trace to source data. | Finance cannot put an AI number in a board pack without knowing where it came from. |

How to choose
Where analysts work
Excel-connected tools keep modeling in spreadsheets. Web-native tools move it into the app. Ask your analysts which they will actually use.
Connectors for your stack
Check native connectors for your ERP (NetSuite, Sage Intacct, QuickBooks, Xero, Dynamics), CRM, HRIS and payroll. Count only the connectors for the systems you run.
Who can change the model
Ask whether finance can add an entity, a department or a new driver without the vendor or a consultant.
Consolidation and close
Suites include multi-entity consolidation and close. Lighter tools offer roll-ups or leave consolidation to another system.
Pricing unit
Some vendors charge by users and integrations, others offer unlimited users by tier. The unit decides the cost of giving department heads access.
Vendor continuity
The category consolidates. HiBob bought Mosaic in 2025, and mosaic.tech now redirects to Bob Finance, which HiBob says it is rebuilding. Ask about ownership and roadmap.
How pricing works
The vendors in this guide do not publish prices as of October 2026. All quote after a demo or a quote request.
Some vendors publish their tiers without prices. The tiers differ on the unit. Some tiers cap users and integrations, with viewer seats added at higher tiers. Others include unlimited users and dimensions in every tier and charge more for workflow automation, integrations, premium support and API access. Quote forms often ask for your general ledger system and employee count, which shape the price.
Ask whether implementation is included or sold separately, and whether consultants are needed.
| Model | How it works | Watch for |
|---|---|---|
| Tiers capped by users and integrations | Each tier includes a set number of users and source-system integrations; higher tiers add modules and viewer seats. | The cost of adding department heads and a fourth or fifth data source. |
| Unlimited users, tiered features | All tiers include unlimited users; higher tiers add workflow automation, integrations, AI and support. | Which integrations and AI features sit only in the top tier. |
| Suite by module | Planning, consolidation, close and reporting priced as modules on one platform. | Bundle discounts that disappear if you drop a module at renewal. |

Frequently asked questions
What is FP&A software?
FP&A software automates budgeting, forecasting and management reporting. It pulls actuals from the general ledger and other systems, holds the planning model, runs scenarios, manages budget input from department heads, and builds budget-versus-actual reports and board packs. Some products also handle consolidation and month-end close.
Excel-based or web-native FP&A software?
Excel-connected platforms such as Vena and Datarails keep modeling in spreadsheets and add live data, version control and workflows. They suit teams whose skills and models are in Excel. Web-native platforms such as Abacum and Drivetrain move modeling into a browser app. They suit teams ready to replace spreadsheets. Run a trial model on your own data in both before choosing.
How much does mid-market FP&A software cost?
None of the 7 vendors in this guide publishes prices as of October 2026. All quote after a demo or a quote request. Prices depend on the tier, users, integrations and modules such as consolidation. Some include unlimited users; others cap users and integrations by tier. Ask whether implementation is included and compare year-2 costs at your expected headcount.
Why are Cube, Datarails and Abacum missing from Gartner's Magic Quadrant?
Gartner's Magic Quadrant for Financial Planning Software, published December 1, 2025, covers 14 vendors, including Planful, Prophix and Vena. Cube, Datarails and Abacum are not among them. CFO Shortlist, a buyer-side publisher, notes that several mid-market tools fall outside the report's scope.
What happened to Mosaic?
HiBob, the HR software company behind Bob, announced on February 13, 2025 that it was acquiring Mosaic, a cloud FP&A platform for mid-market companies. Mosaic's website now redirects to Bob Finance. In October 2026, HiBob's page says Bob Finance is being rebuilt with AI and will return in a few months.
